How to submit online stamp sample notification – Most detailed instructions

After establishing a company, you must carve a seal and for the seal to be valid, you must notify the seal sample online. This article will guide you through this process.

1. Application form

The notification file on the use of 100% seal sample must be submitted electronically on the national information system of the Ministry of Planning and Investment.

2. Documents to prepare

Businesses need to prepare the following documents:

  • Notice on the use of corporate seal sample according to form II-8 of Circular 20/2015/TT-BKHĐT guiding on business registration dated December 1, 2015.
  • Authorization letter for the person performing the procedure if the person submitting the application is not at the same time the legal representative of the enterprise.
  • Notarized identification documents of the applicant must be valid for 06 months.

The application is scanned into a pdf file to attach and submit to the system.

3. Application steps

First, to submit an application online, businesses must create a login account and then follow these steps:

Step 1: Access the website dangkykinhdoanh.gov.vn

After accessing the website, click on “Public services” => “Register business online”.

Next, go to “Business Registration”

Select “Submit application using business registration account” => Next.

Select “Register to change business registration content” => Next

Enter tax code/business code in the business code box => Search => Next.

Select “Notify sample stamp” => Next

Select the Personal identification documents of the applicant and the authorization document to carry out business registration procedures => Next => Ok

Select Start

Click on “Stamp Sample”

Then, Fill in the information, select the notification field about using the seal sample.

Fill in the effective date of the seal (Fill in 1 day after the date of application submission)

Fill in the number of company seals

Go to choose file to download and attach a scanned copy of the sample stamp notification form II-8.

  • Save information => Contact section

Fill in all the information of the applicant in this section and click “Save” => Go to the signer section

 Fill in the information as instructed and then go to the attachments section to attach the scanned file including the authorization letter and personal identification documents of the applicant.

Upload files and select the correct attachment name => Save file => Return

Select “Prepare”

Enter verification code => Confirm => Ok

Select “Sign/authenticate with business registration account”

Check the box “I hereby declare…” => Confirm => Ok

Select “Submit application to the Business Registration Office”

Thus, your business has successfully submitted a set of documents notifying the use of the company’s seal sample in accordance with the procedures and regulations of the law. After 2-3 working days, your business will receive a notification that the seal sample has been posted on the national information portal. Only then will the company’s seal sample be effective.
