Is it mandatory to change the company address on the electronic invoice?

According to Clause 4, Article 10 of Decree 123/2020-ND-CP, the information of the enterprise including: company name, head office address, tax code is mandatory content on the electronic invoice. At the same time, this content must be accurately recorded on the business registration certificate and investment certificate (if any).

Therefore, after a business changes its head office address (completing the business registration change procedure), it must complete the procedure to change the company address on the electronic invoice before issuing invoices to customers and partners.

Regulations on changing company address on electronic invoices

Enterprises need to change their head office address on electronic invoices in the following 2 cases:

  • Firstly, changing the company address does not change the tax authority (when the enterprise changes its business address in the same district, or the enterprise managed by the Tax Department changes its business address in the same province);
  • Second, changing the company address changes the tax authority (when the business changes the company address to another district or province).

➨ So is the procedure for changing the company address on the electronic invoice the same in these two cases?

  • Pursuant to Clause 4, Article 15 of Decree 123/2020/ND-CP, changing the company address on the electronic invoice in both cases above is the same. In that case, the enterprise only needs to send form No. 01/DKTĐ-HĐĐT to the tax authority in charge to request adjustment of invoice information;
  • Form 01/DKTĐ-HĐĐT: The declaration form for registration/change of information on using electronic invoices has been integrated into the electronic invoice software, so businesses can declare and submit online on the General Department of Taxation’s electronic information portal or directly on the electronic invoice software in use.

Note:

According to current regulations, businesses can continue to use issued electronic invoices without having to submit forms TB04/AC and BK01/AC to the tax authority in the new district.

Instructions for changing company address on electronic invoice

1. Notes before changing business address on electronic invoice
  • Enterprises only carry out procedures to change the company address on electronic invoices when they have completed procedures to change the company address at the Department of Planning & Investment and the tax authority;
  • During the procedure for changing the company address, the enterprise is not allowed to issue invoices;
  • Notify customers and partners that the company is moving address to avoid losing mail or customers coming to the old address to do business.

2. Procedures for changing company address on Viettel electronic invoice

Businesses can perform the following steps in turn:

➨ Step 1: Log in to your company’s electronic invoice account

  • Access the link https://vinvoice.viettel.vn/account/login; 
  • Enter your tax code and password to log in to your company’s invoice account.

➨ Step 2: Update company address

Select “Release Management”, select “Initialize Business Information”. In the “Address” field, enter the new address of the business, then click “Update”.

➨ Step 3: Declare and submit form 01/DKTĐ-HĐT to the tax authority

  • You select “Release management”, select “Create release notice”, then select “Create release notice – Register according to Decree 123 (TT78)”;
  • In the “Tax authority name” field, select the current tax authority of the enterprise. In case the change of address results in a change of tax authority, select the information of the new tax authority of the new location;
  • In the “Registration form” field, select “Change information”;
  • In the field “Invoice form” you select “With tax authority code”;
  • In the field “Method of transferring electronic invoice data” you select “Transfer full content of each invoice”;
  • In the field “Type of invoice used” you select “Value added invoice”;
  • Next, click on the field “Select invoice number and symbol to use”;
  • In the fields “Invoice template name” and “Symbol” you select the invoice and the company’s electronic invoice symbol, then select “Save”.

After the screen changes to the image below, select “Record”.

After the screen displays as below. The first line with the status “Draft” is the form 01/DKTĐ-HĐĐT you just declared. Next, you press the arrow button to send form 01/DKTĐ-HĐĐT to the tax authority. At this time, the “Status” column will display “Waiting for approval”.

Within 2 working days from the date the enterprise submits form 01/DKTĐ-HĐĐT, the enterprise can look up the status of the tax authority’s file review by logging into the General Department of Taxation’s electronic information portal or on the company’s electronic invoice software, if:

  • The status column displays “Active” which means your invoice has been approved, now the business can issue invoices to customers at the new address as usual;
  • If the status column shows “Rejected”, it means that you have declared incorrect information. You need to check the information or contact the tax authority directly in charge and resend form 01/DKTĐ-HĐĐT as fdiinvietnam.com instructed above.
